2.1 Information You Provide

  • Account information: name, email address, company name, professional credentials, and password when you create an account.
  • Billing information: payment card details and billing address, processed securely through our payment processor, Stripe. We do not store full credit card numbers on our servers.
  • Survey data: vessel information, inspection notes, voice recordings, photographs, findings, and any other content you upload or create through the Service.
  • Client information: names, email addresses, and contact details of your clients that you enter into the Service for report delivery.
  • Communications: any messages or support requests you send to us.

2.2 Information Collected Automatically

  • Usage data: pages visited, features used, time spent, and actions taken within the Service.
  • Device information: browser type, operating system, device type, screen resolution, and language preference.
  • Log data: IP address, access times, referring URLs, and error logs.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service.
  • Process voice recordings through our transcription provider and generate AI-assisted survey report text.
  • Analyze uploaded photographs using AI to suggest section assignments and detect deficiencies.
  • Generate and deliver professional survey report PDFs.
  • Process payments and manage your subscription.
  • Send transactional emails such as report deliveries, account notifications, and billing receipts.
  • Improve the Service, including training and evaluating our AI models on de-identified, aggregated data.
  • Respond to support requests and communicate with you about the Service.
  • Detect, prevent, and address fraud, abuse, and technical issues.
  • Comply with legal obligations.

4. Third-Party Services

We share information with the following categories of third-party service providers, solely to operate the Service:

  • Authentication: Clerk (account management and single sign-on).
  • Payment processing: Stripe (subscription billing and payment handling).
  • Cloud infrastructure and storage: Neon (database hosting) and Cloudflare R2 (file storage for photos, recordings, and PDFs).
  • AI and transcription: Anthropic (AI-powered text generation) and Deepgram (voice-to-text transcription).
  • Email delivery: Resend (transactional email).
  • Error monitoring: Sentry (application performance and error tracking).

Each third-party provider is contractually obligated to process your data only as necessary to provide their services to us and in accordance with applicable data protection laws.

5. Cookies and Tracking Technologies

We use cookies and similar technologies to maintain your session, remember your preferences, and understand how you use the Service. The types of cookies we use include:

  • Essential cookies: required for authentication and core functionality. These cannot be disabled.
  • Analytics cookies: help us understand usage patterns and improve the Service. You can opt out of these through your browser settings.

We do not use advertising cookies or sell your data to advertisers.

6. Data Retention

We retain your account information and survey data for as long as your account is active or as needed to provide the Service. If you cancel your subscription, your data will remain accessible in a read-only state for 90 days, after which it will be scheduled for permanent deletion.

Voice recordings used for transcription are retained for 30 days after processing to support quality assurance and error resolution, then permanently deleted. Aggregated, de-identified usage data may be retained indefinitely for product improvement purposes.

7. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS 1.2+), encryption at rest for stored files, secure access controls, and regular security reviews. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access: request a copy of the personal data we hold about you.
  • Correction: request that we correct inaccurate or incomplete data.
  • Deletion: request that we delete your personal data, subject to our legal retention obligations.
  • Export: request a machine-readable export of your survey data.
  • Objection: object to certain processing activities, including direct marketing.

9. Children's Privacy
